Job Introduction

To support the Production Director in the production of live jobs and pitch work and where necessary to head up the production of live jobs and pitches. To look after the production department on a day to day basis including the management of invoice / expenses / petty cash tracking and reconciliation. To ensure all best practice production processes are followed.

 

Role Responsibility

  • To assist in the production of jobs and pitches including live action, motion graphics, animation, print and digital
  • To be the main lead on certain productions and pitches
  • Where necessary to liaise directly with clients, be the main client contact point and have responsibility for communicating and keeping them up to date all relevant job information
  • To be responsible for the creation of budgets for jobs using the department budget template and to manage the budget and allocation of funds during a production
  • To be responsible for the creation of accurate and realistic Timing Plans for pitches and live jobs and to monitor them closely during production and to notify both the client and line manager when timings are not matching the Timing Plan
  • Management of day to day running of department including maintaining job folders, petty cash and the department storage
  • Ensuring job profitability and making budgetary decisions to ensure relevant targets are met

Planning and Organising

  • Full planning and management of productions including management of freelance crew, working with the Director and managing the budget
  • Maintenance of all project folders and ensuring all final versions are recorded
  • Management of shoot petty cash and reconciliation of all receipts
  • Organising all invoice tracking and keeping the invoice project database up to date
  • Raising job numbers
  • Raising invoices using Billing Instruction document
  • Managing the department Global Expense

Problem Solving

  • Solving production issues as they arise and contigency planning during a job
  • Management of client requests, maintaining relevant paper trails and pushing back where necessary
  • Dealing with timing issues and alerting  Line Manager when issues arise

Decision Making

  • Deciding what work is suitable to send to clients and always double checking files and ensuring quality of work going to the client
  • Decide on reasonable timings for the production of a live job or a pitch

  • Relevant Clients on live jobs

  • Relevant Client management in OpCos
  • Creative team internally

Knowledge, Skills and Experience Needed for the Job

  • Full knowledge and proven experience of the production of live action and graphic jobs including the post production pipeline
  • Proven experience of client managemen
  • Knowledge of Microsoft excel and PowerPoint

 

3. Planning and Organising
